RioApps, Inc. builds and operates Legal Planner, case management software licensed to legal and government offices. This policy explains what information we handle and how.
Who the information belongs to
Almost everything in Legal Planner is entered by the office that licenses the software, and it belongs to that office. RioApps processes it on the office's behalf and for no purpose of our own.
Information we handle
- Office staff accounts — name, work email address, role and login activity.
- Case information — entered by the office: client names and contact details, charges, court dates, dispositions and case documents.
- Contact details for reminders — a client's mobile number and email address, where the office has recorded them.
- People who contact us — the name, email address and message you send us.
Text message reminders
Legal Planner sends text messages to clients of an office that licenses the software, on that office's behalf. The following applies to those messages.
- How a client agrees. When an office opens a client's record, staff ask the client for a mobile number and whether they want text messages about their case. The number and the client's agreement are recorded together in the case file. If the client does not agree, no messages are sent. RioApps does not collect phone numbers from the public and does not buy, rent or import phone number lists.
- What is sent. Case-related messages only. When the office takes the case, the client is told which office represents them and how to reach it. Before each court appearance, the client is reminded 7 days, 3 days and 1 day ahead. If a date changes, the client is told. Nothing promotional is ever sent.
- Message frequency. Frequency depends on activity in the client's case.
- Cost. Message and data rates may apply, depending on the recipient's mobile plan.
- How to stop. Reply STOP to any message. The request takes effect immediately, is recorded in the client's case file, and no further messages go to that number. Reply HELP for help, or call the office directly.
- We do not sell or share this information. Mobile phone numbers and a client's agreement to receive messages are never sold, rented or shared with third parties or affiliates for their own marketing purposes. No mobile information is shared with third parties for marketing.
Service providers
A small number of providers help deliver the service and may process information only to perform that function:
- Amazon Web Services — hosting and storage.
- Twilio — delivery of text messages.
Each is bound by its own agreement and may not use the information for its own purposes.
How long information is kept
Case information is retained for as long as the licensing office requires, under that office's agreement with us. When an agreement ends, data is returned or deleted at the office's direction.
Security
Legal Planner is hosted on Amazon Web Services in the United States. Access requires an account issued by the office and protected by multi-factor authentication. Each office's data is separated from every other office's. We sign security addenda where a client requires one.
Your choices
If you are a client of an office that uses Legal Planner and want to change or remove your contact information, contact that office directly — they control their own records. You can stop text messages at any time by replying STOP.
Children
This website is not directed to children. Case records may concern minors, and those records are handled under the same terms as all other case information, at the direction of the office.
